Glitter Pop Parties Ltd Terms of Business 

Glitter Pop Parties reserves the right to update its terms of business at any time without further notice.

1. Booking a Party:

Booking is done via the online booking form.

The customer agrees to submit the booking form and make a deposit payment online in order to fully secure their booking.

We recommend that parties are booked as far in advance as possible in order to secure your desired date and time. If your preferred date and time are not available, we will work with you to find the next most suitable option.

1.1 Party Pricing

We do everything we can to ensure that the prices listed on ours and other websites are correct, and we try to keep our prices constant. Sometimes we need to change the cost of a product, either up or down. 

1.1a Prices may be changed at any time without further notice. 

We reserve the right to change our product prices at any time without further notice. However, we guarantee the price of any product you have chosen when your booking was confirmed. Please refer to our correspondence for pricing related to your booking.

1.2 Payment

1.2a Deposit Payment

Upon submission of the booking form, the customer should make their non-refundable deposit payment of £50 online in order to fully secure their party.

1.2b Balance Payment

The balance of the cost of your party will be invoiced by email two weeks before the party and is payable by BACS.

For parties booked 2 or less weeks before the party date, the balance payment will be invoiced after your booking is secured online, based on the items selected on the booking form.

The customer agrees to pay the balance invoice in full immediately upon receipt. We reserve the right to cancel the party should the customer fail to settle the balance prior to the party. Unfortunately we are not able to accept payment in cash on the day as our party staff do not handle payments. 

1.3 Final Party Package and Alterations

1.3a Items Included at the Time of Booking

The customer agrees that the items selected on the booking form, including the number of children and any optional extras, are non-deductible and remain chargeable at the time of balance invoice.

1.3b Confirmation of Attendees

A reminder email will be sent to the customer two weeks before the party. At this time, the customer agrees to notify us by email of the final numbers of attendees (including the birthday child) and any additions to their booking.

1.3c Additions to the Party Package

The addition of any optional add-ons or extra attendees after the time of booking should be confirmed to us in writing no later than 14 days before the party.

Any offer on party extras/add-ons does not include extra participants. Additional charges will apply for extra attendees. Please refer to the pricing details provided for accurate information on the extra participants fee.

Any such additions to the party after the balance is paid, are subject to availability and must be paid for immediately by BACS upon notifying us.

1.3d Confirmed Guests Who Fail to Attend on the Day of the Party

As stated in Clause 1.3b, all attendees should be confirmed no later than 14 days before the party date. Any confirmed guests who do not attend on the day remain chargeable at the specified price, including any optional extras selected for them.

1.4 Party Start Times

1.4a Standard Party Start Times Available

We offer standard morning and afternoon booking slots with party start times as follows:

Morning - 10:00am, 10:30am or 11:00am

Afternoon - 3:00pm, 3:30pm or 4:00pm

Term-time Fridays only: 4:00pm, 4:30pm

Alternative times to those listed may be available on request and are subject to our staffing and our booking schedule. Please note that any start times after 4:30pm will incur a £20 surcharge.

2. Booking Amendments:

2.1 Any Changes Made by the Customer

As stated in clause 1.3a, any items selected at the time booking are non-deductible and remain chargeable at the time of final invoice.

As per clause 1.3c, if the customer chooses to increase the number of attendees and/or include additional optional extras after the time of booking, these should be confirmed no less than 14 days before the date of the party.

2.2 Maximum Number of Attendees

In order to maintain our 5-star quality of service and provide the levels of attention that each child requires during our parties, we regretfully cannot cater for more than 12 children per party. We kindly ask that this is taken into consideration when sending out invites.

3. Cancelling and Rescheduling a Booking: 

3.1 Cancellations by the Customer

Should the customer wish to cancel their confirmed party booking for any reason and at any time without rescheduling, the deposit is non-refundable.

3.2 Customer Rescheduling a Party

If the customer wishes to reschedule their party, they may do so subject to availability and must book a new date within 14 days of notifying us in writing. The new party date must occur within 12 months from the original date. We will transfer any deposit paid to the new party date. 

3.3 Cancellations by Glitter Pop Parties

In the unlikely event that Glitter Pop Parties will have to cancel a party booking, we will offer an alternative date and time. If the customer is unable to or does not wish to reschedule, a full deposit refund will be given.

4. Force Majeure:

4.1 Liability

Glitter Pop Parties and the customer’s designated party staff accepts no responsibility for an Event of Force Majeure including inability to carry out any agreed obligations to the customer. 

4.2 Notice of Force Majeure to Customer

Glitter Pop Parties and the customer’s designated party staff shall give notice to the customer of an Event of Force Majeure upon it being foreseen or becoming known.

4.3 Instances of Force Majeure

Instances of an Event of Force Majeure include unforeseeable circumstances beyond the control of Glitter Pop Parties and the customer’s designated party staff. These may include: adverse weather conditions, adverse traffic conditions, natural disasters, acts of war, and any other unforeseeable circumstances which might prevent us from carrying out any obligations as agreed.  

4.4 Mitigation

Glitter Pop Parties and the customer’s designated party staff will take all reasonable steps within their respective power to mitigate the effects a Force Majeure Event and to take all reasonable precautions, due care and reasonable alternative measures to thereafter perform any agreed obligations to the customer.

4.5
The client acknowledges that they are responsible for providing a suitable space for the party if held outside. This includes ensuring that the space has hard flooring and overhead shelter large enough to accommodate the event.


4.6
The client agrees to monitor weather forecasts leading up to the party and take necessary precautions, such as providing appropriate shelter or alternative arrangements, to mitigate any potential weather-related disruption.

4.7
The client acknowledges that they are responsible for providing a suitable venue for the party to be held in the garden. This includes ensuring that the venue is weather-resistant and capable of accommodating the event.

4.8
In the event of inclement weather, such as rain or adverse conditions, which may require the party to be shortened or finished early, no refunds will be granted. It is the client's responsibility to provide a venue that is sustainable and able to withstand weather conditions.

5. Access, Parking & Unloading/Loading:

The customer agrees to make any access, loading and parking restrictions known to us upon booking.

5.1 Access Restrictions and Unloading

The customer will notify Glitter Pop Parties of any access restrictions to the party venue including access by stairs up or down, construction works and distance from parking to the venue.

Glitter Pop Parties staff will arrive about 30 - 45 minutes prior to the agreed party start time in order to unload equipment and set up. The amount of time required to do so is affected by ease of access to the party venue.

5.2 Parking 

Glitter Pop Parties staff will require one parking space for the duration of the party, including setting up, running the party and tidying away.  

5.2a On Street Parking - Free, Metre Paid and Permit 

Should on-street parking be the only option, Glitter Pop Parties staff will need to park as close to the door as possible for unloading upon arrival and for loading upon leaving. Please ensure a space is made available where possible. 

If on-street parking requires a permit or payment by metre, the customer is responsible for providing their Glitter Pop Parties staff with the correct permit or parking payment for the required amount of time necessary to set up, run and tidy away the party which is usually about 3 - 3.5 hours.

6. Children’s Participation:

GlitterPop’s party hosts will encourage all children to participate in the party activities. They will not enforce that a child participates if, for any reason, that child does not wish to take part in any or all activities offered.

7. Supervision:

The customer and any other accompanying adults are responsible for all children’s behaviour, general care and well-being whilst participating in the party. We prefer that there is an adult present near by in order to supervise any children who may need attention such as a toilet break or drink.

8. Children’s Safety:

GlitterPop party hosts will ensure that all activities are delivered safely and will use age-appropriate materials for the children present.

9. Children’s Behaviour:

The customer, and/or any other accompanying adults, is responsible for the good behaviour of all children participating in the party, and should endeavour to rectify any misunderstandings between any one child and another. Glitter Pop Parties staff will encourage all children to be kind and respectful to each other. Our staff will notify the customer of any ill-mannered behaviour between children and ask that it is resolved immediately.

10. Hygiene Note - Pampering Treatments: 

Glitter Pop Parties regrets that your party staff may be unable to offer certain pampering treatments to children with any viral infections and hair and skin conditions, such as cold sores, verrucas, warts, conjunctivitis, severe cold, head lice, severe acne, and severe eczema. An alternative treatment may be offered in such cases. Such conditions should be brought to your party staff’s attention prior to the start of the party.

10. Privacy Notice:

10.1 Information Usage:

10.1a The personal data we collect will be used for:

          • Managerial processing of your booking to ensure that the information provided is used to fulfil our obligations, including the contact and address details of the customer, party venue and details of the child(ren) for whom the party is being held.

          • Contacting the customer by phone or email with regards to their booking at any time before or after the party

          • Contacting the customer by email should they opt in for Glitter Pop Parties newsletters

10.2 Consent

By consenting to this privacy notice, you are consenting to us processing your personal data specifically for the purposes identified. 

Customers’ information given on any online form used by us may be held on computer and may be used to contact customers in the future. All electronic systems used by Glitter Pop Parties are password protected. Any printed information is stored in a locked cabinet.

Consent is required for Glitter Pop Parties to process both types of personal data, but it must be explicitly given. Where we are asking you for sensitive personal data, we will always tell you how and why the information will be used.

You may withdraw consent at any time any by notifying Glitter Pop Parties in writing to enquiries@glitterpopparties.co.uk.

10.3 Disclosure 

Glitter Pop Parties will never share your details with any third parties. If you opt in for our monthly newsletter, your email address will be stored on our email marketing system.

11. Parental Consent & Photography Permission:

11.1 Photography 

On occasions, we would like to seek permission from each child’s parent/guardian to take photographs at each party, which we may use in our online and printed marketing. If any person and parent/guardian does not consent to photography, we will not take photographs of their child.

Glitter Pop Parties Supervision, Contact and DBS Policy

1. Supervision 

It is an absolute condition of booking any of our services that our party staff are not left in sole charge of children or any other vulnerable persons as defined by law. Due to this, at no point should our party staff have unsupervised access to children or other vulnerable persons. The customer should ensure that he/she or any other trusted accompanying adult is present nearby at all times. 

2. Contact with Children

Due to the nature of our pampering services, physical contact with children is necessary in order to carry out the treatments. Our party staff will never insist on a child taking part if he/she is not comfortable having physical contact with them, for example, contact during nail painting, massage to hands, application of facial and body treatments. Such contact meets with the terms of our safeguarding policy below as it is neither frequent or intensive (frequent or intensive meaning carried out by the same person on a weekly basis or more often).

3. Party Staff DBS Checks & Insurance 

All our party staff are DBS checked. We also carry out our own set of strict checks and training to ensure that our party staff meet our high standards of service. The customer may request proof of DBS certification at the party. Glitter Pop Parties is fully ensure with Public Liability Insurance to the value of £5m.

Glitter Pop Parties Health and Safety Policy

The Health and Safety of both our adult and child customers is very important to us and we have therefore documented the following procedures that we have in place to support this:

  • Your Glitter Pop Parties staff will ensure the well being of each child taking part.

  • All equipment will be checked and cleaned regularly to ensure they are safe for use. Any broken or hazardous equipment will be removed immediately. Children will only be offered equipment and resources that are suitable for their age/stage of development.

  • We carry out a detailed risk assessment of every party venue before any participants arrive to ensure that it is a safe environment.

  • In the event of a fire/evacuation please follow the Fire Instructions found at fire exits in the venues. Please make yourself aware of these procedures as you enter the building.

  • Smoking is not permitted inside any venue.

  • We have a strict Safeguarding Children policy in place (see below).

  • At events and workshops, parents/guardians must accompany their child at all times.

  • Glitter Pop Parties holds comprehensive Public Liability insurance to the value of £5m.

  • We have a procedure for recording accidents (Accident Record Form).

Safeguarding Children Policy

The responsibility of a Glitter Pop Parties staff is to ensure the safety and welfare of all children in line with the procedures laid out by the local Safeguarding Children’s Board. 

(The Safeguarding Children Board is responsible for producing Safeguarding Children Procedures based on national guidelines set out in Working Together to Safeguard Children (Dept. of Education & Skills). It monitors the effectiveness of the Procedures systematically and amends them as it becomes necessary.)

Glitter Pop Parties has received training on Safeguarding Children (Child Protection) and are aware of the signs and symptoms of child abuse (physical, emotional and sexual) and those of neglect. We also ensure that our pamperers comply with the recommendations set out by the Safeguarding Children Board.

If a Glitter Pop Parties staff member has reason to believe that any child is being abused in any way they will report the matter to the Local Authority Designated Officer (LADO) at the relevant Social Services, Child Protection Team. Under these circumstances they will not be able to keep information relating to your child confidential, but will need to share it with Ofsted, Social Services and the Police if requested.
